Terms & Conditions

These Terms & Conditions govern all services provided by Oloi Shorua (“the Company”) to its clients (“Clients”).

By confirming a booking, Clients agree to the terms outlined below.


1. Agency Role

Oloi Shorua acts as a travel design and booking agent. The Company arranges services through independent third-party suppliers, including lodges, airlines, transport providers and local operators. All services fall under the terms and conditions of the respective service providers. Additionally, the Company does not operate airlines, accommodation properties or ground transport services directly unless explicitly stated.


2. Pricing & Adjustments

Quoted prices are based on prevailing supplier rates, exchange rates, park fees and government charges at the time of quotation.

The Company reserves the right to adjust pricing in the event of:

  • Government tax or park fee increases
  • Fuel surcharges
  • Exchange rate fluctuations
  • Supplier price revisions

The Company communicates any adjustments promptly.


3. Itinerary Changes

Itineraries may be modified due to weather, safety considerations, operational requirements or force majeure events. Consequently, the Company reserves the right to make reasonable changes to ensure safety and continuity of travel.


4. Force Majeure

The Company is not liable for delays, disruptions or losses arising from events beyond its control, including but not limited to:

  • Natural disasters
  • Political unrest
  • Airline schedule changes
  • Government actions
  • Strikes or security incidents

5. Insurance

Clients must obtain comprehensive travel insurance covering:

  • Medical emergencies
  • Evacuation
  • Trip cancellation
  • Personal property

Accordingly, the Company does not provide insurance coverage.


6. Passports & Visas

Clients are solely responsible for:

  • Valid passports (minimum 6 months validity)
  • Required visas or electronic travel authorisations
  • Vaccination compliance

Failure to obtain necessary documentation does not entitle the Client to a refund.


7. Cancellation Policy

Deposits

All journeys designed by Oloi Shorua require a deposit to secure accommodation, permits, transport and related services.

Unless otherwise stated in writing:

  • Deposits are non-refundable.
  • Certain services (including but not limited to park permits, gorilla permits, private charters, exclusive-use properties and peak-season lodges) may be 100% non-refundable from the time of booking.
  • Your booking confirmation clearly states the deposit amount and payment schedule.

A booking is confirmed only once the required deposit has been received.


Cancellation Policy

All cancellations must be submitted in writing.

As Oloi Shorua designs bespoke journeys using independent third-party suppliers, cancellation terms vary depending on:

  • Destination
  • Season (low, high, peak)
  • Lodge or property policies
  • Exclusive-use arrangements
  • Special permits and conservation fees
  • Charter flights or private aviation

Your booking confirmation clearly outlines the specific cancellation terms applicable to that journey. Furthermore, Oloi Shorua passes on supplier-imposed cancellation charges exactly as levied, without markup. Certain elements may be fully non-refundable regardless of cancellation timing.


Cancellation Guidelines (Indicative Only)

While exact terms vary by supplier and season, cancellation penalties may generally fall within the following ranges:

  • 60+ days prior to travel: up to 30%
  • 60–46 days prior: up to 50%
  • 45–20 days prior: up to 75%
  • 19 days or less prior: up to 100%

Final cancellation terms are confirmed in writing at the time of booking and may differ from the above guidelines.

Refunds

Where applicable, we process refunds only after:

  • Supplier confirmation
  • Receipt of funds from third-party providers

Refunds apply solely to recoverable amounts received back from suppliers. Moreover, the Company is not liable for delays in refunds caused by third-party providers, banks or currency processing systems.

No refunds apply to:

  • Unused services
  • Missed transfers
  • Voluntary itinerary changes during travel
  • Client failure to obtain required travel documentation

Travel Insurance

Clients are strongly advised to obtain comprehensive travel insurance covering:

  • Trip cancellation
  • Medical expenses
  • Emergency evacuation
  • Loss of personal property

Accordingly, Oloi Shorua accepts no liability for losses arising from uninsured events.


8. Limitation of Liability

To the fullest extent permitted by law, the Company’s total liability in connection with any booking shall not exceed the total amount the Client paid for the specific services in question. Furthermore, the Company is not liable for indirect, incidental, consequential or special damages, including but not limited to loss of enjoyment, loss of opportunity or loss of revenue.


9. Conduct

The Company reserves the right to cancel or terminate a Client’s participation if behaviour compromises safety, wellbeing or operational integrity.


10. Governing Law and Jurisdiction

Oloi Shorua operates through multiple legal entities depending on the point of sale and invoicing structure.

Where services are invoiced through:

Oloi Shorua L.L.C-FZ (Dubai, United Arab Emirates)
UAE law governs these Terms. Any disputes fall under the exclusive jurisdiction of the courts of Dubai.

Oloi Shorua OPC Private Limited (India)
Indian law governs these Terms. Any disputes fall under the exclusive jurisdiction of the courts of Mumbai, Maharashtra.

The applicable legal entity is clearly identified on the invoice and booking confirmation.

“The maximum liability of the Company shall not exceed the total amount paid by the Client.”
